Clicking the action icon (โ‰กโ†ต) on a course in the START NEW tab opens the Start Course dialog.

โš ๏ธ Non-obvious: The TRA- label is generated automatically when the dialog opens and cannot be manually changed. This is how the enrollment is tracked across the In-Progress and Completed tabs.

โš ๏ธ Non-obvious: Clicking SAVE & FINISH finalizes the course and moves it to the Completed tab. Once finished, the course cannot be resumed or re-submitted โ€” it becomes a permanent record. Ensure all lesson items are addressed before saving.

โš ๏ธ Non-obvious: Once you enroll in a course, the template is frozen at the point of enrollment. If a course administrator updates the template after you have already enrolled, your in-progress version will not reflect those changes.

โš ๏ธ Non-obvious: Lessons within a course can be completed in any order. The player saves your position automatically โ€” if you close the browser mid-course, reopening the enrollment will take you back to the last lesson you were working on.

โš ๏ธ Non-obvious: Items marked as mandatory must be completed before the lesson can be saved. Optional items can be left blank without blocking progress.


๐Ÿ” Repeating a Completed Courseโ€‹

After a course is completed, a Repeat button becomes available on that enrollment row in the COMPLETED tab. Clicking Repeat creates a brand-new enrollment of the same course, pre-enrolled and ready to begin โ€” no need to go through the Start Course dialog again.

โš ๏ธ Non-obvious: The Repeat button only appears once per completed enrollment. Once a repeat has been initiated from a given completion record, the Repeat button disappears from that row. The new repeat enrollment appears in the IN-PROGRESS tab with its own TRA- label.

Completed courses generate a downloadable report that summarizes the enrollment and assessment outcome.

๐Ÿงฉ Creating a Course Templateโ€‹

Administrators can create and manage course templates using the four-step template wizard. Templates define the structure, content, and assignments for any course available in the START NEW tab.

To create a new template, navigate to the template management area and click + Add.


Step 1 โ€” Detailsโ€‹

Define the basic information for the course template.

Step 2 โ€” Add Tasksโ€‹

Build the task structure for this course using one of three methods:

TEMPLATE tab โ€” Upload a pre-built task file to populate the course automatically.

RICH MEDIA FORM tab โ€” Build the course structure directly in the platform using a hierarchy of Groups, Tasks, and Sub-Tasks.

  • Groups are top-level sections that organize related tasks.
  • Tasks sit within groups and can be marked as Repeatable โ€” meaning learners can complete them multiple times within the same course session.
  • Sub-Tasks are the individual input items within each task. Each sub-task has:
    • Label โ€” a descriptive name for the input
    • Type โ€” the kind of input required (text, video, checkbox, image upload, rating, and more)
    • Mandatory checkbox โ€” if checked, the sub-task must be completed before the course can be submitted

PDF FORM tab โ€” Upload a PDF form. Optionally configure default field values that are pre-filled when the course is opened.

Step 3 โ€” Assignmentsโ€‹

Specify which users should be assigned to this course.

The Assignments step uses a two-panel transfer list:

Use the โ†’ arrow to move users into the Chosen list. Use โ† to move them back.

โš ๏ธ Non-obvious: The Assignments step is only active when the template's assignment type is set to "all" and the template Status is Active. If the step appears greyed out, check these two settings in Step 1.

Step 4 โ€” Allocationโ€‹

Define which assets, systems, or other entities this course should be associated with.

Move entities from Choices to Chosen using the transfer list arrows. The course will only be visible to users or assets in the Chosen list.

โœ… Result: The template is saved and immediately visible in the START NEW tab for any allocated users or assets โ€” provided the Status is set to Active.


๐Ÿ”„ Workflowsโ€‹

Workflow 1: Enroll in and Start a New Courseโ€‹

  1. Open the Training app from the sidebar.
  2. The START NEW tab is active by default โ€” browse the Courses List for an available course.
  3. Use the Tags or Allocated To columns to find a course relevant to your asset or system.
  4. Click the โ‰กโ†ต action icon on the course row.
  5. In the Start Course dialog, confirm the auto-generated TRA- label and select the relevant System from the dropdown.
  6. Click START.

โœ… Result: The course enrollment is created, assigned a unique TRA- label, and the course player opens. The course moves to the IN-PROGRESS tab immediately.


Workflow 2: Resume an In-Progress Courseโ€‹

  1. Open the Training app from the sidebar.
  2. Click the IN-PROGRESS tab.
  3. Locate your course by Course Title, Label, or Allocated To.
  4. Click the โ‰กโ†ต action icon to re-open the course player.
  5. The player opens at your last saved position โ€” continue from where you left off.
  6. When all lessons are complete, click SAVE & FINISH.

โœ… Result: The course is finalized, moves to the COMPLETED tab, and a report is generated with your Pass or Fail outcome.


Workflow 3: Review and Download a Completed Course Reportโ€‹

  1. Open the Training app from the sidebar.
  2. Click the COMPLETED tab.
  3. Locate the course by Course Title, Label, or Completed On date.
  4. Click the โ‰กโ†ต action icon to open the report.
  5. Review the System Information, Course Summary, and Report Status panels.
  6. Scroll down to see the detailed lesson-by-lesson assessment results.
  7. Click DOWNLOAD PDF to save a copy of the report.

โœ… Result: A full PDF report of the completed course is downloaded, including all section results, pass/fail outcomes, and timestamps โ€” ready for audit, compliance, or recordkeeping purposes.


Workflow 4: Export Your Full Training Historyโ€‹

  1. Open the Training app from the sidebar.
  2. Click the COMPLETED tab.
  3. Click the Request Data button in the toolbar at the top right of the Courses List.
  4. Follow the export prompt to download your complete training record.

โœ… Result: Your full training history is exported, including all course completions, labels, dates, and pass/fail outcomes โ€” suitable for personal records, manager review, or compliance reporting.


Workflow 5: Repeat a Completed Courseโ€‹

  1. Open the Training app from the sidebar.
  2. Click the COMPLETED tab.
  3. Locate the course you want to repeat.
  4. Click the Repeat button on that row.
  5. A new enrollment is created automatically โ€” no Start Course dialog is required.
  6. The new enrollment appears immediately in the IN-PROGRESS tab with a new TRA- label.
  7. Click the โ‰กโ†ต action icon on the new enrollment to open the course player and begin.

โœ… Result: A fresh enrollment of the same course is created and ready to complete. The original completed record remains intact in the COMPLETED tab.


โœ… Best Practicesโ€‹

  • Use the TRA- label to track specific enrollments. The same course can be taken multiple times across different systems or asset allocations. Each instance has its own TRA- label โ€” use this to distinguish between multiple runs of the same course.
  • Check the Allocated To column before enrolling. Courses are scoped to specific systems, asset models, or model families. Enrolling in a course allocated to the wrong system will still generate a report, but the results will be tied to the wrong asset context.
  • Do not click SAVE & FINISH until all lesson items are addressed. Once a course is finalized, it cannot be resubmitted. Unanswered items will appear in the report and may result in a Fail outcome.
  • Download the PDF immediately after completion. For courses with compliance or audit significance, download and file the PDF as soon as the course is completed โ€” do not rely solely on the in-platform record.
  • Use the Training Template Status tile to confirm course availability. If a course you expect to see is not appearing in the START NEW tab, check the Training Template Status tile on the dashboard. An InActive template will not appear as an enrollable course.
  • Use Request Data for team-wide reporting. Individual course PDFs work well for single records. For a bulk export of training completions across your team, use the Request Data button on the Completed tab.
  • Use Repeat to run refresher training without losing the original record. The Repeat button creates a new enrollment without affecting the original completion record. Each run generates its own TRA- label and report.
