Systems App
Systems are collections of assets. The System app helps you visualize and manage everything within a system — whether on a plant floor, inside a factory, or out in the field — bringing assets, documents, training, inspections, and more into a single organized view.
🏗️ What Is a System?
A System is any logical or physical grouping of related assets. Systems are flexible by design, so they can represent virtually any structure in your operation.

System Hierarchy
Systems can be nested under other systems, creating parent-child relationships that mirror the real-world structure of your facilities.

➕ Creating a System
- Click + in the Systems grid.
- Enter system details: Name, System ID, Description, Address, Type, Tags.
- Map assets to the system.
- Apply shared properties to all assets (optional).
- Upload 2D / 3D files for visualization (optional).

The interactive 3D viewer gives you a spatial representation of your system and its assets.

Each system detail page contains a full set of tabs for managing every aspect of the system's lifecycle.
📋 INFO
View system details including name, location, type, owner, and an interactive map of the system's address.
📄 DOCUMENTS
All documents tagged with this system's System ID appear here automatically. Upload a manual or diagram anywhere in the platform, tag it with the System ID, and it becomes visible in this tab — no separate upload needed.
📌 How it works: Upload once → tag with System ID → document appears in all relevant systems automatically. No duplication, single source of truth.
🎓 TRAINING
Manage training courses assigned to users for this system. Track progress across three views: Start New, In Progress, and Completed.

Schedule and track system inspections. Assign inspections to specific personnel and monitor completion status in one place.

🔄 Common Workflows
Workflow 1 — Setting Up a New System
- Create the system with basic details (name, type, ID, description).
- Set the parent system if it is part of a hierarchy.
- Map existing assets to the system.
- Upload a 3D model for visualization (optional).
- Assign training courses via the TRAINING tab.
- Create inspection schedules via the INSPECTIONS tab.
✅ Result: The system is fully configured, assets are mapped, and it is ready for training, inspection, and operational tracking.
Workflow 2 — Conducting an Inspection
- Navigate to the system and open the INSPECTIONS tab.
- Start the scheduled inspection.
- Complete all checklist items.
- Document findings and take photos.
- Create cases for any issues found.
- Mark the inspection as complete.
✅ Result: The inspection is recorded with a full audit trail — findings, photos, and any cases raised — all linked to the system.
Workflow 3 — Managing System Training
- Navigate to the system and open the TRAINING tab.
- Assign courses from available templates.
- Set completion deadlines.
- Monitor progress in the In Progress view.
- Verify completion in the Completed view.
✅ Result: Training assignments are tracked against the system, with a clear view of who has completed what and when.
📥 Bulk System Ingestion
Systems can be created and updated in bulk using the Ingestion feature rather than configuring each one individually. Three ingestion types are available for system data:
- Create Systems — add new system records in bulk.
- Update Systems — modify existing system records in bulk.
- Map Assets with System — associate existing assets to systems in bulk. This is especially useful when onboarding a large installed base and assigning many assets to their systems at once.

✅ Best Practices
- System Organization — Use clear, consistent naming conventions and create hierarchies that mirror your physical structure. Keep hierarchy depth to 3–4 levels and update system status promptly whenever it changes.
- Document Management — Tag all documents with the relevant System ID so they surface automatically in the DOCUMENTS tab. Use consistent file naming and include revision numbers to keep documents current.
- Asset Mapping — Map all physical assets to their corresponding systems. Update assignments whenever assets are moved or decommissioned, and use the 3D viewer to document precise asset locations.
- Training & Inspections — Assign training before users need system access. Schedule inspections based on criticality, complete them on time, and document all findings — even minor ones.
