Inventory App
The Inventory App gives you a real-time view of your parts and consumables stock across every storage location. It tracks what you have, where it is, how fast it is being consumed, and when you need to reorder โ so you're never caught without a critical part when equipment needs it.

A pie chart showing the current stock status distribution across all parts in your inventory.

๐ Stock by Locationโ
A bar chart showing the total number of parts stocked across each storage room or zone in your facility. Each bar is split into two segments: In Stock (green) and Incoming (blue โ parts that have been ordered and are on their way).
Use this chart to identify which locations are well-stocked versus which may need replenishment.
โก Monthly Inventory Turnover Percentโ
A gauge chart measuring how efficiently your inventory is being used relative to your target. This KPI helps identify two opposing problems: too much stock being held unnecessarily, or too many stock-out incidents where parts run out before replacements arrive.

๐ก Use these three KPIs together: a high stock-out count with a long lead time signals that reorder points need to be set earlier. A low turnover percent with a high average inventory suggests you are carrying more stock than necessary.
๐ Current Inventory Listโ
Below the dashboard, the Current Inventory table lists every part across all storage locations. A single part stocked in multiple locations appears as a separate row for each location โ giving you location-level visibility rather than a single aggregate number.

๐ฆ Stock Statuses and Recommended Actionsโ
The Recommended Action column gives you both consumption context and a direct path to reorder.

๐ Stock by Locationโ
The same part can be stocked in multiple rooms or zones. The inventory list shows one row per part per location, so you can see exactly where your stock is physically distributed. This is useful when you have multiple service areas or when parts are staged at the point of use rather than in a central store.
Storage locations are named by your organization (e.g., Room #1, Room #2, Zone #3). New locations can be configured by your administrator.

Workflow 1 โ Weekly Inventory Health Checkโ
- Open the Inventory App Dashboard
- Check the Stock Health chart โ note the size of any Low Stock (orange) and Out of Stock (pink) segments
- Scan the Monthly KPIs panel โ review Stock-out Incidents and Average Lead Time
- In the Current Inventory list, look for rows with ORDER buttons โ these are the parts requiring immediate attention
- For each Out of Stock part, click ORDER to go to the product page and initiate a purchase
โ Result: Every part below threshold is identified and a reorder is initiated in the same session โ without switching to a separate system.
Workflow 2 โ Ordering a Replacement Partโ
- In the Current Inventory list, locate the part that needs reordering (Out of Stock or Low Stock)
- Click the ORDER button on that part's row
- You are taken to the part's product listing in the Ecommerce App
- Review the specification to confirm it is the correct part
- Complete the purchase from the product page
โ Result: You go from spotting a stock issue to placing a reorder in two clicks, with the specification already confirmed.
Workflow 3 โ Reviewing Stock Across Locationsโ
- Open the Current Inventory list
- Search or filter by part name or part number to find all rows for a specific part
- The results show one row per location โ compare quantities across rooms or zones
- If stock is unevenly distributed, coordinate with your operations team to redistribute from well-stocked locations to those running low
Workflow 4 โ Planning Reorders Based on Consumption Rateโ
- Review the Recommended Action column for In Stock parts
- Parts showing a consumption rate (e.g., Consumed ~20 Units/Week) give you a forward-looking view of when current stock will run out
- Cross-reference the quantity on hand and the Average Lead Time KPI to determine when to place your next order
- For example: if a part is consumed at 20 units/week with a 7-day lead time, plan your reorder with enough lead time to avoid a stock-out

โ Best Practicesโ
- ๐ด Address Out of Stock items immediately. A stock-out on a critical maintenance part can ground equipment until the part arrives. Use the ORDER button to initiate procurement the moment you spot a zero-quantity item.
- ๐ฆ Monitor Incoming quantities alongside current stock. A part may show Low Stock but have a large Incoming quantity already on order. The Incoming column prevents duplicate orders for parts already being replenished.
- โฑ๏ธ Use Average Lead Time to set reorder timing. If your average lead time is several days and a critical part is consumed quickly, your reorder point should leave adequate buffer stock โ not just enough to cover the lead time alone.
- ๐ Know your location layout. Understanding which rooms or zones correspond to which service areas helps you interpret the Stock by Location chart quickly. Work with your administrator to ensure location names reflect how your facility is actually organized.
- ๐ Track Stock-out Incidents month over month. A rising incident count is a leading indicator that your reorder points or minimum stock levels need adjustment. Address the pattern rather than just individual incidents.
