πŸ“„ Start New Tab β€” Audit Template List​

This tab lists every audit template available for your organization. Select a template to launch a new audit run against a system or asset.

TagsColor-coded label badges used to categorize audit templates. Multiple tags may be applied. Examples: Test, Audit, System1, Allocation, Level 5.
Allocated ToThe system or asset group this template is configured to audit (e.g., assets, systems).
Create DateDate and time the template was originally created.
Report StatusShows N/A for templates that have not yet generated any completed audit reports.
ActionIcon button to launch a new audit run from this template (opens the Start Audit Operation dialog).

πŸš€ Start Audit Operation Dialog​

Clicking the action icon on any template opens the Start Audit Operation dialog. This is where you configure and launch a new audit run.

Audit Title (header)Shows the name of the template you are launching (e.g., Testing for Dev).
LabelAuto-generated reference code in the format ADT-XXXXXX (e.g., ADT-101826). This label appears throughout In-Progress and Completed views and in the final report. It cannot be manually edited.
Allocation DropdownSelect which asset or system this audit run will be performed against (e.g., Assets, Systems). Options reflect the systems and assets registered in your organization.
Assign TaskAssign this audit run to a specific team member. The assigned user will be responsible for completing the audit and will appear in the Assigned To column in the In-Progress tab.
CANCELCloses the dialog without starting an audit run. No records are created.
STARTLaunches the audit run. The run immediately appears in the In-Progress tab. START is disabled until an allocation is selected.

⚠️ Non-obvious: The ADT- label is the primary reference ID for the entire audit run β€” it appears in the In-Progress table, the Completed table, and the downloadable PDF report. Note it down or use it to search when tracking a specific run.


⏳ In-Progress Tab β€” Active Audit Runs​

The In-Progress tab shows all audit runs that have been launched but not yet submitted. Each row is a unique run with its own ADT- label.

⚠️ Non-obvious: If you cannot find a specific run, use the filter or search icon in the top-right of the table to narrow by template title, label, or assigned user.


πŸ”§ Audit Execution Interface​

When you click β–Ά Continue on an In-Progress run, you enter the audit execution interface. The left panel shows the checklist of steps; the right panel shows the current step's input form.

Left Panel β€” Audit Checklist​

⚠️ Non-obvious: Clicking BACK without first clicking SAVE & NEXT will not save your current input. Always use SAVE & NEXT to preserve your work before navigating away.


βœ… Completed Tab β€” Finished Audit Records​

The Completed tab shows all audit runs that have been submitted. Each record has a final pass/fail report status.

Clicking the πŸ‘ View icon on any completed audit opens the full Report page. This page consolidates all submitted data into a structured, shareable document.

Report Body Sections​

SectionDescription
SYSTEM INFORMATIONDisplays the name and address of the system or asset audited. Each system shows its own Pass/Fail badge.
ASSETSLists each individual asset within the system with its name, responses, and Pass/Fail result.
Enable ThumbnailsToggle in the top-right of the report body. When enabled, uploaded images appear as inline thumbnails within the report.
DOWNLOAD PDFBlue button in the top-right of the report header. Generates and downloads a PDF version of the full report.

⚠️ Non-obvious: The Report Status card shows both a Start Date and an End Date. The End Date reflects when the audit template's target window closed β€” not when the auditor submitted. A run submitted after the End Date will still complete, but may be flagged as late.


πŸ“Š Dashboard β€” Audit Status Charts​

Three pie charts load automatically when you open Audits. They reflect the current state of all audit records across your organization.

⚠️ Non-obvious: The dashboard charts reflect all-time totals, not just the current month. A large "Due" slice does not necessarily mean recent slippage β€” it may include historical overdue items.


πŸ“‹ Creating & Managing Audit Templates​

Audit templates define the structure of every audit run. Administrators can create, edit, and delete templates from the Start New tab. Each template is built through a 4-step wizard.


Step 1 β€” Audit Details​

Fill in the core metadata for this template.

StatusActive β€” template is available to launch. Inactive β€” template is hidden from the Start New list.
AuthorThe name of the person responsible for this template.
FromThe start date of the audit window (when this template becomes available to run).
ToThe end date of the audit window (when this template closes). Runs submitted after this date may be flagged as late.

Step 2 β€” Add Tasks​

This step defines the actual checklist content of the audit β€” the groups, tasks, and sub-tasks that auditors will work through. There are three ways to build task content:

Tab 1 β€” TEMPLATE (JSON Upload)​

Upload a pre-built template file to create the full task structure in one step. Useful for standardized audit templates prepared in advance.

Build the task structure directly in the UI. This is the standard method for creating audit templates.

Structure:

Audit tasks are organized into Groups β†’ Tasks β†’ Sub-Tasks:

TaskAn individual item within a group (e.g., "System Inspection", "Audit Verification"). Each task has a Title, Description, and an optional Repeatable checkbox.
Sub-TaskAn action row within a task. Each sub-task has a Label, a Type (input type), and a Mandatory checkbox. Click + Add Sub-Task to add more rows. Click βœ• Remove to delete a sub-task row.

πŸ“Œ Check Mandatory on any sub-task to require a response before the auditor can proceed. Mandatory sub-tasks that are skipped will cause the audit step to fail validation.

πŸ“Œ Check Repeatable on a task to allow the auditor to repeat that task multiple times within a single audit run β€” useful for tasks that apply to multiple assets or locations within the same audit.

To build a template using the Rich Media Form:

  1. Click + Add Task to add the first task to the default group.
  2. Fill in the Group Label and Group Description for the section.
  3. Enter a Title and Description for the task.
  4. Click + Add Sub-Task to add action rows beneath the task.
  5. For each sub-task: enter a Label, select a Type, and check Mandatory if required.
  6. Repeat for additional tasks within the same group.
  7. Scroll down and click + Add Task again to add a new group, or add more tasks to the existing group.
  8. When finished, click SAVE.

Tab 3 β€” PDF FORM​

Upload a PDF form to allow auditors to fill it out directly in the platform. You can also pre-fill certain fields with default values (e.g., site name, customer) so auditors don't have to re-enter the same information each time.

Step 3 β€” Assignments​

Assign this audit template to specific users who will be responsible for completing it.

The assignment interface shows two lists side by side:

ChosenUsers selected to receive this audit assignment. Empty on a new template.

Use the β†’ button to move selected users from Choices to Chosen. Use the ← button to move them back.

⚠️ The Assignments transfer list is only active when the template's assignment type is set to "all" and its status is Active. If the list appears disabled, check the Status and assignment type settings in Step 1.

Step 4 β€” Allocation​

Link this template to the specific assets, systems, users, asset models, or model families it applies to. Only the entities selected here will be available when an auditor launches a run from this template.

Use β†’ to move selections to Chosen and ← to move them back. Use the Search field in either panel to find specific entities quickly.

πŸ“Œ The template will only be accessible for the allocation types and entities you select here. If an asset or system is not in the Chosen list, it will not appear as an option when launching an audit run from this template.

Workflow 1 β€” Launch a New Audit Run​

  1. Open Audits. Navigate to Audits from the left sidebar.
  2. Select the Start New tab. Find the audit template you want to use in the list.
  3. Click the action icon in the rightmost column of the template row to open the Start Audit Operation dialog.
  4. Confirm the auto-generated Label (ADT-XXXXXX) and select the target system or asset from the allocation dropdown.
  5. Use Assign Task to assign the audit to the relevant team member.
  6. Click START. The dialog closes and the new run appears immediately in the In-Progress tab.

βœ… Result: A new audit run is created with a unique ADT- label, assigned to the appropriate team member, and ready to begin.


Workflow 2 β€” Complete an Audit Step​

  1. Open the In-Progress tab. Find the audit run you need to work on by its ADT- label or audit title.
  2. Click β–Ά Continue in the Action column to open the audit execution interface.
  3. Review the current step in the right panel. Click SHOW INSTRUCTIONS if guidance is available.
  4. Enter your response and attach any supporting documents or images using UPLOAD DOCUMENT or the camera icons.
  5. Click SAVE & NEXT to save and advance. Repeat for each remaining step.
  6. On the final step, click SAVE & NEXT to submit the audit. The run moves to the Completed tab.

βœ… Result: The audit is submitted, a pass/fail report is generated, and the record appears in the Completed tab.


Workflow 3 β€” Review a Completed Audit Report​

  1. Open the Completed tab. Locate the audit run by ADT- label, audit title, or completion date.
  2. Click πŸ‘ View in the Action column to open the full report.
  3. Review the three summary cards (System Information, Audits Summary, Report Status) for a high-level overview.
  4. Scroll down to inspect individual asset results. Toggle Enable Thumbnails to see attached images inline.
  5. Click DOWNLOAD PDF to save or share a formatted copy of the report.

βœ… Result: A structured PDF report is downloaded, ready for records, compliance files, or client delivery.


Workflow 4 β€” Find a Specific Audit Run by Label​

  1. Note the ADT- label from your email notification, the dashboard, or a team communication.
  2. Open the In-Progress or Completed tab depending on whether the audit is still active or finished.
  3. Click the search or filter icon in the top-right of the audit table.
  4. Enter the ADT- label (e.g., ADT-187858) in the search field and press Enter.

βœ… Result: The table filters to the matching run, giving you direct access to its status, report, or continuation controls.


πŸ’‘ Best Practices​

  • Record the ADT- label as soon as you launch an audit. Labels are the fastest way to locate a specific run when your list grows long.

  • Use Tags consistently when creating templates. Tags drive the dashboard charts and make filtering faster. Agree on a tag naming convention across your team before creating new templates.

  • Always click SAVE & NEXT β€” not BACK β€” to save your work. Navigating backward without saving will discard your current step input.

  • Download the PDF immediately after an audit is completed, especially for compliance-sensitive audits. Report records can be deleted, and the PDF is the durable external copy.

  • Keep templates Active only when they are truly in use. Inactive templates remain in Start New but cannot be launched, which can confuse field technicians scanning the list.

  • Enable Thumbnails when reviewing reports with attached photos. Thumbnails make it faster to spot image evidence without downloading each file individually.
