Organization
The Organization app is your central hub for managing all organizational entities — customers, manufacturers, distributors, and sales companies. Organizations serve as a single source of truth, with all users, assets, and systems linked to them, ensuring consistent and accurate data across the entire platform.
🏗️ What Is an Organization?
An Organization represents any business entity in your ecosystem. Every user, asset, and system belongs to exactly one organization at a time.

🏗️ Organization Hierarchy (Parent & Child Organizations)
Organizations can be nested — a parent organization can have one or more child organizations, forming a tree structure that mirrors your real-world business relationships.

- A child organization is created by selecting a Parent Organization during the creation wizard (Step 1).
- Child organizations inherit the same structure (they have their own users, assets, systems, and security groups) but are visually and logically grouped under their parent.
- There is no limit to nesting depth — you can create multi-level hierarchies.
Key Behaviors

| Org Admin scope | An Organization Admin of a parent org does not automatically have admin rights over child orgs. Each child's admins are assigned separately. |
| Asset/User assignment | Assets, systems, and users belong to one specific organization (parent or child) — not to the entire hierarchy. |
| Reporting roll-up | Business Outcomes reports can aggregate data across a parent and its children when the user has access to multiple organizations. |
When to Use Child Organizations

Creating a Child Organization
- Click ➕ on the Organizations List to start the creation wizard.
- In Step 1 (Organization Info), select the Parent Organization from the dropdown.
- Complete the remaining steps as usual (admins, permissions, assets, roles).
- The new organization appears nested under its parent in the organization list.
💡 You can convert a standalone organization into a child by editing it and setting a Parent Organization. Similarly, you can remove the parent to make it standalone again.

The list view displays all organizations in a searchable, filterable table.

➕ Creating an Organization
✏️ Who can create: Super Administrators and Administrators only.
Click ➕ on the Organizations List to launch the 5-step creation wizard.
Step 1 — Organization Info
Enter core details: Type, Organization ID, Name, Description, Address, City, State, Country, Pin Code, Phone, Website, Email Domain(s), Customer ID.
Step 2 — Assign Organization Admins
Select users who will manage this organization with scoped admin rights.
Step 3 — Accessible Apps & Permissions
Define which apps and permission levels organization admins can access. A custom role is automatically created based on your selections.
Step 4 — Assign Assets, Systems & Users
Select the assets, systems, and users to link to this organization. A security group is automatically created, giving all organization members access to the assigned items.
Step 5 — Assign Roles
Choose which roles organization admins are permitted to assign to their own users.
✅ Result: The organization is fully created with all members provisioned and a security group configured for access control.
✏️ Editing an Organization
✏️ Who can edit: Super Administrators and Administrators only.
- Open the organization's detail page
- Click the Edit icon (top-right)
- Update details through the same 5-step wizard
⚠️ Non-obvious: Users, assets, and systems can only belong to one organization at a time. Reassigning them to a new organization automatically removes them from the previous one.
🗑️ Deleting an Organization
🗑️ Who can delete: Super Administrators and Administrators only.
Click the Delete icon on the Organizations List row.
The organization is discontinued — it can no longer be assigned to new records — but all historical data is preserved.

Click any organization name to open its detail page, which is organized into three information panels and four tabs.

🔗 Organization Integration
Organizations are integrated directly into the forms for users, assets, and systems.
In User Forms
- Super Administrators / Administrators can select any organization
- Organization Admins can only select their own organization
- The user is added to the selected organization and its security group
- The user is removed from their previous organization (if any)
In Asset Forms
- Select an organization to assign ownership
- The asset is added to the organization's security group
- The asset is removed from its previous organization (if any)
In System Forms
- Select an organization to assign ownership
- The system is added to the organization's security group
- The system is removed from its previous organization (if any)
📌 Rule: Users, assets, and systems can each belong to only one organization at a time.
👤 Organization Admins
Organization Admins are users with admin privileges scoped to a single organization — ideal for giving a customer contact self-service management capability without platform-wide access.
What They CAN Do ✅
- Create and edit users within their organization
- Assign approved roles to their users
- View their organization's assets and systems
- Access only the apps they have been permitted to use
What They CANNOT Do ❌
- Access other organizations
- Create or edit organizations
- Assign roles not pre-approved for their organization
- Perform platform-wide admin functions
⚠️ Non-obvious: Organization Admins are designated in Step 2 of the creation or editing wizard, with their custom permissions defined in Step 3.
🔄 Common Workflows
Workflow 1 — Setting Up a New Customer Organization

✅ Result: Customer organization is ready. The admin can manage their own users, and all users gain access to their assets and systems automatically.
Workflow 2 — Reassigning an Asset to a Different Organization
- Open the asset's edit form
- Change the Organization dropdown to the new organization
- Save
✅ Result: Asset moves to the new organization, is removed from the previous one, and the security group is updated automatically.
Workflow 3 — Adding a User to an Organization
- Create or edit the user
- Select the organization from the dropdown
- Select a role (from the organization's approved roles if an org admin is creating the user)
- Save
✅ Result: User joins the organization and gains access to its assets and systems via the security group.

- 💡 Naming — Use clear, consistent organization names. The centralized entity eliminates naming variations across the platform.
- 📌 One Organization Rule — Users, assets, and systems can each belong to only one organization. Plan assignments carefully before saving.
- 🛡️ Organization Admins — Use for customer or partner organizations who need to manage their own users without platform-wide access.
- 🔐 Security Groups — Organizations automatically create and manage security groups. All members automatically gain access to the organization's assets and systems.
- 🔄 Regular Reviews — Periodically review organization membership to ensure assets, systems, and users are correctly assigned.
- ✅ Approved Roles — Carefully select which roles organization admins can assign to maintain security and access control.
