Organization

The Organization app is your central hub for managing all organizational entities โ€” customers, manufacturers, distributors, and sales companies. Organizations serve as a single source of truth, with all users, assets, and systems linked to them, ensuring consistent and accurate data across the entire platform.

An Organization represents any business entity in your ecosystem. Every user, asset, and system belongs to exactly one organization at a time.

๐Ÿ—๏ธ Organization Hierarchy (Parent & Child Organizations)โ€‹

Organizations can be nested โ€” a parent organization can have one or more child organizations, forming a tree structure that mirrors your real-world business relationships.

  • A child organization is created by selecting a Parent Organization during the creation wizard (Step 1).
  • Child organizations inherit the same structure (they have their own users, assets, systems, and security groups) but are visually and logically grouped under their parent.
  • There is no limit to nesting depth โ€” you can create multi-level hierarchies.

Creating a Child Organizationโ€‹

  1. Click โž• on the Organizations List to start the creation wizard.
  2. In Step 1 (Organization Info), select the Parent Organization from the dropdown.
  3. Complete the remaining steps as usual (admins, permissions, assets, roles).
  4. The new organization appears nested under its parent in the organization list.

๐Ÿ’ก You can convert a standalone organization into a child by editing it and setting a Parent Organization. Similarly, you can remove the parent to make it standalone again.

โž• Creating an Organizationโ€‹

โœ๏ธ Who can create: Super Administrators and Administrators only.

Click โž• on the Organizations List to launch the 5-step creation wizard.

Step 1 โ€” Organization Infoโ€‹

Enter core details: Type, Organization ID, Name, Description, Address, City, State, Country, Pin Code, Phone, Website, Email Domain(s), Customer ID.

Step 2 โ€” Assign Organization Adminsโ€‹

Select users who will manage this organization with scoped admin rights.

Step 3 โ€” Accessible Apps & Permissionsโ€‹

Define which apps and permission levels organization admins can access. A custom role is automatically created based on your selections.

Step 4 โ€” Assign Assets, Systems & Usersโ€‹

Select the assets, systems, and users to link to this organization. A security group is automatically created, giving all organization members access to the assigned items.

Step 5 โ€” Assign Rolesโ€‹

Choose which roles organization admins are permitted to assign to their own users.

โœ… Result: The organization is fully created with all members provisioned and a security group configured for access control.


โœ๏ธ Editing an Organizationโ€‹

โœ๏ธ Who can edit: Super Administrators and Administrators only.

  1. Open the organization's detail page
  2. Click the Edit icon (top-right)
  3. Update details through the same 5-step wizard

โš ๏ธ Non-obvious: Users, assets, and systems can only belong to one organization at a time. Reassigning them to a new organization automatically removes them from the previous one.


๐Ÿ—‘๏ธ Deleting an Organizationโ€‹

๐Ÿ—‘๏ธ Who can delete: Super Administrators and Administrators only.

Click the Delete icon on the Organizations List row.

The organization is discontinued โ€” it can no longer be assigned to new records โ€” but all historical data is preserved.

Organizations are integrated directly into the forms for users, assets, and systems.

In User Formsโ€‹

  • Super Administrators / Administrators can select any organization
  • Organization Admins can only select their own organization
  • The user is added to the selected organization and its security group
  • The user is removed from their previous organization (if any)

In Asset Formsโ€‹

  • Select an organization to assign ownership
  • The asset is added to the organization's security group
  • The asset is removed from its previous organization (if any)

In System Formsโ€‹

๐Ÿ‘ค Organization Adminsโ€‹

Organization Admins are users with admin privileges scoped to a single organization โ€” ideal for giving a customer contact self-service management capability without platform-wide access.

What They CAN Do โœ…โ€‹

  • Create and edit users within their organization
  • Assign approved roles to their users
  • View their organization's assets and systems
  • Access only the apps they have been permitted to use

What They CANNOT Do โŒโ€‹

  • Access other organizations
  • Create or edit organizations
  • Assign roles not pre-approved for their organization
  • Perform platform-wide admin functions

โœ… Result: Customer organization is ready. The admin can manage their own users, and all users gain access to their assets and systems automatically.


Workflow 2 โ€” Reassigning an Asset to a Different Organizationโ€‹

  1. Open the asset's edit form
  2. Change the Organization dropdown to the new organization
  3. Save

โœ… Result: Asset moves to the new organization, is removed from the previous one, and the security group is updated automatically.


Workflow 3 โ€” Adding a User to an Organizationโ€‹

  1. Create or edit the user
  2. Select the organization from the dropdown
  3. Select a role (from the organization's approved roles if an org admin is creating the user)
  4. Save

โœ… Result: User joins the organization and gains access to its assets and systems via the security group.
