Industrility Platform | Operations Reference Guide

The Accounts app gives administrators a complete view of their organization's profile, license status, and platform usage โ€” and lets Super Administrators manage multiple accounts from one place.


๐Ÿ“‹ Account Details Pageโ€‹

The main Accounts page shows four summary cards at the top of the screen.

Card 1 โ€” Account Detailsโ€‹

NameThe name of the license plan assigned to this account.
TypeThe license type (e.g., standard, enterprise).
Asset TierThe tier determining how many assets this account can register.
App TierThe tier determining which apps are available to this account.
TagsAny classification tags applied to this license.

Card 3 โ€” Subscription Termโ€‹

FieldDescription
StatusWhether the subscription is currently active, expired, or in another state.
Start DateThe date the current subscription term began.
End DateThe date the current subscription term expires.
Issue DateThe date this subscription was issued or last renewed.
Next Renewal DateWhen the subscription is next due for renewal.

Card 4 โ€” Contact Usโ€‹

Industrility's direct support contact information for this account.

โš ๏ธ Non-obvious: The Contact Us card shows Industrility's support contact โ€” not your own organization's contact. Use this card when you need to reach platform support for licensing, billing, or technical escalations.


๐Ÿ“Š Account Snapshotโ€‹

Below the four summary cards, the page displays an Account Snapshot โ€” a rolling 12-month view of platform activity for your account. Each entity has a total count on the left and a bar chart showing how many records were created each month on the right.

Snapshot Entitiesโ€‹

Parts Created Chart โ€” Bar Colorsโ€‹

The Parts Created chart uses color coding to distinguish part types:

โš ๏ธ Non-obvious: Some snapshot counts (particularly Parts) display "Still Loading..." while data is being calculated. If you see this message, wait a moment and refresh the page โ€” it does not indicate an error. Very large accounts with tens of thousands of parts records may take longer to fully load.

โš ๏ธ Non-obvious: The snapshot charts reflect the last 12 rolling months โ€” not the current calendar year. A spike in a specific month indicates a bulk import or major onboarding event, not necessarily a sustained rate.

โœ๏ธ Edit Account Detailsโ€‹

Click the โœ๏ธ pencil icon in the top-right corner of the Accounts page to open the Edit Account Details form. This is accessible to Administrators and Super Administrators only.

The edit form is a multi-step wizard. Each section is numbered and can be expanded in sequence. You can click SKIP on any section to leave it unchanged and move to the next.

Step 1 โ€” Account Detailsโ€‹

NameThe organization's display name on the platform.
DescriptionA short description of the account (e.g., "Serverless App Platform for Your Installed Base").
WebsiteThe organization's public website URL.
Contact NameThe primary contact person's name for this account.
Contact EmailThe primary contact email address.
AddressThe organization's physical address.
Accepted DomainsEmail domains permitted to register users on this account. Enter each domain and press Enter to add it as a chip (e.g., industrility.com, cb.com). Remove a domain with the ร— button.
Application URLThe URL where this account's platform instance is hosted.
Country CodeInternational dialing code for the phone number.
Enter Phone NumberThe account's primary contact phone number.
Display NameThe name shown to end users in the platform interface (e.g., Industrial OEM). This may differ from the internal account Name.
From EmailThe email address used as the sender for all outbound platform notifications sent to this account's users.
Enable offline usageCheckbox. When enabled, allows users to access certain platform features without an active internet connection.
UPLOAD LOGOAttach the organization's logo. Used in platform branding, reports, and customer-facing outputs.

Controls what appears in the footer area of your platform pages โ€” useful for branding consistency.

Step 3 โ€” Ecommerce Configurationโ€‹

Configures your online store and payment settings. Only relevant if your account uses the Ecommerce or StoreFront apps.

Orders To EmailThe email address that receives order notifications when a customer places an order.

Send Follow-up Reminder Email After (Days)Number of days after a quote is sent before a follow-up reminder is automatically emailed to the customer. Leave blank to disable.
Send Automatic Followup Email (Reminder)Checkbox โ€” enables or disables automatic follow-up reminder emails for open quotes.
Send Expiration Reminder Email After (Days)Number of days before a quote expires that an expiration reminder is sent to the customer.
Send Automatic Expired Email (Reminder)Checkbox โ€” enables or disables automatic expiration reminder emails.
Quote Sync Waiting Time (Minutes)How long the system waits before syncing quote updates.

Step 4 โ€” Asset Configurationโ€‹

Controls the default display behavior of the Assets app across your account.

Select Tile 3Choose what information appears in the third summary tile on every asset detail page (e.g., Asset Status).
Select Tile 4Choose what information appears in the fourth summary tile on every asset detail page (e.g., Asset Score).
Dealer LabelThe label used for the dealer/distributor field across the platform (e.g., dealer-RK). Customize this to match your organization's terminology.
Preferred Asset TabThe tab that opens by default when a user navigates to any asset detail page (e.g., Parts).

Step 5 โ€” Asset Registration Configurationโ€‹

Controls how new assets are registered and what information is visible when viewing child assets.

Show Asset PreviewWhether a preview of the asset is shown during registration (Yes / No).
Preview AppsThe apps shown in the asset preview panel. Add app names as chips (e.g., Timeline).
Asset RegistrationThe registration method for new assets (e.g., Direct Access โ€” users register assets directly without an approval step).
Registration Request Email ToThe email address that receives a notification when a new asset registration request is submitted.
Default Parent UserThe default user assigned as the parent/owner of newly registered assets.
Default Apps To InstallApps that are automatically installed on every new asset registered in this account.
Child Assets Tab Column VisibilityCheckboxes to control which columns are visible in the child assets list on an asset detail page. Options include: Name, Serial #, Telematics Serial #, Model, Make, Validity, Hotspot Circle.

Step 6 โ€” Email Template Configurationโ€‹

Select and customize the email templates used for automatic platform notifications. Click the List of Templates dropdown to choose a template to configure.

Available templates:

๐Ÿ’ก Select any template from the dropdown to view or edit its content. Use SKIP if you do not need to make changes to email templates at this time.


Step 7 โ€” Prompt Configurationโ€‹

Controls the AI prompt behavior for features like TwinGPT and DocGPT. Select a prompt from the List of Prompt dropdown to view or adjust it.

๐Ÿ’ก These prompts are pre-configured by Industrility. Only adjust them if you have been advised to do so by your Industrility account manager.


Step 8 โ€” Lifecycle Phases Stages Configurationโ€‹

Defines the phases and stages used in the LifeCycle tab on asset detail pages. Each phase represents a major period in the asset's life, and each stage is a sub-step within that phase.

How to configure:

Two build methods are available โ€” TEMPLATE (upload a pre-built file) or FORM (build directly in the UI).

Using the FORM tab:

Step 9 โ€” Viewer Configurationโ€‹

Controls the behavior of the 2D and 3D document viewer used in the asset Parts tab and document viewer.

Viewer 2D Sheet ColorThe background color used for 2D drawing sheets in the viewer (e.g., Black).
Zoom-In % (between 0.1 to 1)How much the viewer zooms in when a user clicks zoom. Enter a value between 0.1 (minimal zoom) and 1 (maximum zoom per click).
Select Extension To DisableFile extension types that should be hidden or disabled in the viewer dropdown.
Select Layers To DisableSpecific drawing layers to hide by default when a 2D document is opened. Type layer names and press Enter.
Ignore Version Numbers?Whether the viewer should ignore file version numbers when displaying documents (Yes / No).

Step 10 โ€” Parts Configurationโ€‹

Controls how the Parts tab displays across all assets in your account.

๐Ÿ’ก Check only the columns your team uses day-to-day. Hiding unused columns keeps the Parts tab clean and easier to navigate, especially on mobile or smaller screens.


Step 11 โ€” Manuals Configurationโ€‹

Controls the default document repository behavior for the Manuals app.

General DocumentsThe document categories available as general references across the platform. Add category chips (e.g., Introduction, Theory of Operation, Production Factors, Safety Management). Remove any category with the ร— button.

โš ๏ธ Non-obvious: The Accepted Domains field is a security control โ€” only email addresses from the listed domains can be used to create new user accounts. If a user reports they cannot be created or cannot log in, check that their email domain is on the accepted list. Adding a new domain takes effect immediately after saving.

โš ๏ธ Non-obvious: The Display Name and From Email fields affect what users see in their email notifications and in the platform header. Changes here are account-wide and take effect for all users on their next interaction.


๐Ÿ”„ Workflowsโ€‹

Workflow 1 โ€” Review Your Account's License and Subscription Statusโ€‹

  1. Open Settings (โš™๏ธ gear icon, top-right) and click Accounts.
  2. Review the License Details card โ€” note the Asset Tier and App Tier to understand your plan limits.
  3. Review the Subscription Term card โ€” check the End Date and Next Renewal Date to confirm the subscription is current.
  4. If the Status shows anything other than active, or if the End Date has passed, use the Contact Us card to reach Industrility support.

โœ… Result: You have a clear picture of your account's license status and know when renewal is due.


Workflow 2 โ€” Check Platform Growth Over the Last 12 Monthsโ€‹

  1. Open Settings โ†’ Accounts.
  2. Scroll below the four summary cards to the Account Snapshot section.
  3. Review the total count for each entity (Systems, Assets, Manuals, Parts, Users, Roles, Security Groups).
  4. Read the bar charts to see which months had the most activity โ€” large bars indicate bulk imports or major onboarding events.
  5. Use the Parts chart color key (Part = blue, Component = gold, nonSalable = orange) to understand the composition of parts growth.

โœ… Result: You have a month-by-month picture of how the platform has grown and where the heaviest data loading occurred.


Workflow 3 โ€” Update Account Contact Information or Brandingโ€‹

  1. Open Settings โ†’ Accounts and click the โœ๏ธ pencil icon.
  2. Step 1 โ€” Account Details: Update the fields that have changed (Name, Contact Email, Phone, Address, Display Name, From Email, Logo).
  3. Click SAVE to commit Step 1, then SKIP through any subsequent steps you do not need to change.
  4. Verify the changes by returning to the Accounts main page and reviewing the Account Details card.

โœ… Result: Updated account information is reflected across the platform immediately, including in user-facing email notifications.


Workflow 4 โ€” Add an Accepted Email Domain for New Usersโ€‹

  1. Open Settings โ†’ Accounts and click the โœ๏ธ pencil icon.
  2. Step 1 โ€” Account Details: Locate the Accepted Domains field.
  3. Type the new domain (e.g., newpartner.com) and press Enter. It appears as a chip.
  4. Click SAVE.
  5. Return to Users (Settings โ†’ Users โ†’ +) and create the new user with their email address at the newly added domain.

โœ… Result: Users with the new domain can now be created and will be able to log in to the platform.


๐Ÿ’ก Best Practicesโ€‹

  • Check the Subscription Term card before major onboarding events. If your account is close to its End Date, new users or assets added just before expiry may lose access when the subscription lapses. Renew before starting large rollouts.

  • Keep the From Email address current. All platform notifications to your users come from this address. If it becomes invalid or is not monitored, users may miss important notifications about alerts, cases, and audit updates.

  • Review Accepted Domains before adding partner or distributor users. If you are onboarding users from a new organization, you must add their email domain to Accepted Domains in Step 1 of the Edit form before their accounts can be created.

  • Use Display Name for customer-facing branding, Name for internal reference. The Display Name is what end customers and sub-users see in the platform header and in email subjects. Keep it professional and consistent with your organization's external brand.

  • Monitor the Users Created chart to spot unusual account activity. An unexpected spike in user creation may indicate a bulk import was run โ€” or unauthorized account creation. The snapshot chart makes anomalies visible at a glance.

  • Use SKIP freely during account editing. You do not need to review all 11 configuration sections on every edit. SKIP advances through sections without changing them, so you can go directly to the section you need without disrupting other settings.
